Clearwater School District students in grades 4-12 all have access to G Suite.   The use of G Suite in the classroom provides tools for students to create, collaborate, communicate, and develop the necessary critical thinking and technology skills to be successful in our world today. The access to these tools is entirely online and can be accessed 24/7 from any internet connected computing device or in an “off-line” mode if Wi-Fi access is not available.

  • All students, Grades 4-12, will have a G Suite account. One of the apps in this suite of tools includes Gmail. Students and teachers will have the opportunity to use email as part of their communication with each other.
  • When we talk about email, we understand there may be concerns about privacy and security. Some important points of information:
  • All students, grades 4-8, can only email students and staff inside Clearwater School's domain (usd264.org). In other words, the students can only email other email addresses that end in “@usd264.org.”
  • All Students, grades 4-8, can only receive email from students and staff inside Clearwater School’s domain (usd264.org).
  • Teachers may use email with their students when they believe it is appropriate for supporting the learning outcomes of their students.
  • High school students will have open email access and be able to send and receive to and from anywhere they choose.
    • ALL Students will be able to use a suite of tools that includes:
    • Cloud Storage (Google Drive)
    • Docs (word processing)Apps
    • Slides (presentation tool like PowerPoint)
    • Sheets (spreadsheet)
    • Forms (survey, assessment, data collection)
    • Sites (website creation tool)
    • Email
    • Calendar
    • And full integration of other Google tools for research such as Google Maps, Google Research, and Translate
  • The District has a G Suite Agreement (http://www.google.com/edu/trust/) that differs from private or business accounts. This account and agreement provide additional tools, security, and privacy for our staff and students. (https://support.google.com/googleforwork/answer/6056650)
  • Clearwater Schools has implemented the G Suite agreement with standards and best practices that meet or exceed Federal, State, and Board of Education laws, regulations, and policies. Two specific federal laws governing our work include FERPA and COPPA.

Family Educational Rights and Privacy Act (FERPA)

FERPA protects the privacy of student education records and gives parents the rights to review student records. Under FERPA, schools may disclose directory information but parents may request the school not disclose this information. Parents are provided the opportunity annually to opt out of disclosing their student's directory information on the District's Enrollment Form. --FERPA – http://www.ed.gov/policy/gen/guid/fpco/ferpa

Children's Online Privacy Protection Act (COPPA)

COPPA applies to commercial companies and limits their ability to collect personal information from children under 13. By default, advertising is turned off for Clearwater School's presence in G Suite. No personal student information is collected by Google for commercial purposes. This permission form allows the school to act as an agent for parents in the collection of information within the school context. The school's use of student information is solely for education purposes. By signing below, I confirm that I have read and understood the following:

Under FERPA and corresponding Kansas law, a student's education records are protected from disclosure to third parties. With regards to COPPA, I understand that my student's digital work (projects, documents, email, files, username, and password) stored in G Suite may be accessible to persons acting on behalf of Google, with Clearwater School’s permission, to facilitate the working operation of this online environment. This does not include any student demographic or grade information stored in our PowerSchool Student Information system. I also understand that my student’s use of G Suite is governed by the Clearwater School’s Student Acceptable Use of Technology agreement.
